Updated on Friday, July 30: The Centers for Disease Control (CDC) and Austin Public Health currently categorize Austin to be in Risk Stage 4 for COVID-19. Masking is recommended indoors for everyone, regardless of vaccination status. Cases and hospitalizations continue to increase in Travis County as new variants, such as the Delta variant, spread throughout the community.
This is an update from our initial guidelines (see below) for mask-wearing at the ROMBA Conference. If Austin continues to be in Risk Stage 4, all conference attendees, regardless of vaccination status, will be required to wear masks indoors during our events.
We will update this space regularly if and when the risk status in Austin changes.
Creating a safe, supportive, and inclusive community
As we prepare to host ROMBA 2021 in Austin, TX, our team has been working to better understand the climate for the LGBT+ community in Texas and ways that we can support our entire community by providing a safe and welcoming environment for everyone.
We are connecting with local LGBT+ organizations while identifying ways to leverage our presence through programming, local advocacy, and partnerships. As we progress in our work, we will keep our community informed.

COVID-19 Safety Protocols
We are looking forward to seeing you in Austin for ROMBA 2021! Your health and safety is our number one priority, and we want to share with you the Health & Safety protocols for this event.
ROMBA has partnered with ConferenceDirect to oversee the onsite Health & Safety Plan in addition to adhering to Hilton’s EventReady with CleanStay program. Both follow strict CDC guidance for meetings and events while still allowing guests to come together safely. In addition, ROMBA will provide access to an online tool for the purposes of validating vaccination, recovery and test documents as well as providing a health screening tool to access the program.
TESTING: ROMBA will require either full vaccination, proof of recovery from COVID-19 or a negative COVID-19 PCR test to enter ROMBA 2021. The test should be administered within 72 hours from the first day you plan to arrive to pick-up your badge.
VACCINATIONS: If you have received the COVID-19 vaccine, and are considered fully vaccinated prior to September 23rd, you can upload your vaccination card into the designated secure portal. You will be exempt from all daily health screenings if you are fully vaccinated.
Once your documentation is verified, you will receive confirmation with your verification. Your confirmation should be printed out and/or downloaded to your mobile device. You may also screenshot the image to your photos for easier access when you arrive to the screening areas.
ROMBA will provide a listing of local COVID-19 test providers to anyone who wants or needs testing. The cost of on-site testing will be the attendee’s responsibility, and payment will be due when the test is provided.
If you arrive to the Hilton Austin without proof of vaccination, recovery from COVID-19 or a negative Covid-19 test, you will only be permitted to attend once you have obtained one of the above.
MASKS: If attendees are fully vaccinated, they will not need to wear a mask in the ROMBA event space.
All other attendees will need to wear a mask in the designated areas of the event. All guests will need to follow local, state, and federal guidelines in terms of mask-wearing while traveling to include ground transportation, airports, and other forms of transportation. At present, masks are required in the public spaces of the Hilton Austin.
All attendees of ROMBA 2021 will be required to accept the above provisions as part of the registration process for the event. Once accepted, failure of an attendee to follow the above provisions may result in their removal from the event.
This is a very fluid time, and we will continue to evaluate what is best for the attendees at ROMBA 2021 to ensure we meet safely and that you are comfortable. We will communicate any updates to our policies swiftly on our website and via email to all registered attendees. It is the attendee’s responsibility to stay up to date with these communications, and if necessary, change their conference plans accordingly.
