Thank you for partnering with us at our 2024 ROMBA Conference! We have compiled a list of frequently asked questions to conveniently provide you with the information you need to get ready for the conference.

ROMBA Corporate Partner FAQs

How do I register for the ROMBA Conference?

Registration for the ROMBA Conference is now live! Please use this link to register. Each registrant must sign up individually to provide dietary restrictions, access needs, and agree to the code of conduct and waiver.

Use your unique company discount code YOURCOMPANYNAME24 for the number of full registrations included in your partnership level. Your specific company code has been emailed to you by Sadiyah Rashied. 

Registration prices are as follows: $800 (Early Bird 6/3-8/25); $900 (Standard 8/26-9/20), and $1,200 (Within One Week of Event 9/21-9/28). A Limited Access Pass is $100. 

Please note that Limited Access registrants (Career Expo Only) do not have access to meals, workshops, or other conference parts. Please register for this pass here

Do you have a master calendar for corporate partners?

Yes, we have a calendar for our partners, complete with all of our events, milestones, and deadlines. Our calendar is maintained as a Google sheet here and will be updated as deadlines become available.

How do I make accommodations for the ROMBA Conference?

The deadline to book rooms at the Westin Bonaventure with ROMBA rates has now passed. The hotel may still have availability for our conference dates, and you are welcome to make a reservation directly with the hotel at their advertised rates. In the event that the hotel does not have availability or does not meet your budget, we have researched alternative local accommodations listed below.

Please note: if you have booked a large block of rooms for your team and anticipate canceling some, please do so ASAP to allow those rooms to be reserved by other attendees.

 

What is a student interest report and how can I access my company’s?

As students register for our conference, they may select your company as one of particular interest to them. A specially generated link will enable you to access your Student Interest Report. Each time you download the report, it will be updated dynamically as new students register and pick your company. You should have received your company’s link from Sadiyah Rashied, srashied@reachingoutmba.org. If you have not, please contact her.

How can I access GradLeaders, the jobs board and CV database used by Reaching Out MBA?

If you or anyone from your company’s Talent Acquisition team would like to sign up for the GradLeaders platform, please use this link to establish a new company contact as part of your company. If it’s your first time using the platform, please click the link “1st time user? Create Account.” Reaching Out MBA and GradLeaders also hosted a training session for our Corporate Partners in 2023. Please note that if your company was a Corporate Partner in previous years, a company profile is likely already set up.

How can I learn more about the logistics for the Career Expo – e.g., shipping/receiving, build outs, move-in/move-out times?

The Career Expo will occur on Friday, September 27th from 2:15pm-6:15pm.

We have selected Freeman as our third-party drayage company and exhibitor decorator. They will handle logistics, initial booth build, and material handling/shipping and receiving and they have a wide variety of services available to enhance your booth. Freeman is the exclusive vendor for material handling if you plan to ship anything to the expo that you cannot hand-carry into the hall. 

Freeman should have sent you an email in which you can follow the instructions provided to create an account with them. The Freeman portal will give you all of the show logistics information, material handling rates, and is the main hub to confirm your details, generate shipping and receiving labels, and learn more about their offerings. If you have not received this email, please let us know. Here is a sheet with move-in/move-out times, the shipping address, material handling rates, and additional details. An account is required with Freeman in order to use any of their services. 

Please note that shipping booth elements directly to the show site is an option for this event, but you must follow the instructions sent by Freeman. We recommend advance shipping as anything Freeman receives in advance will be automatically delivered to your booth before the exhibitor move in. Additionally, shipments may not be received before Tuesday, August 27

How can I find out where my booth is for the Career Expo at ROMBA?

The 2024 ROMBA Career Expo will be held on Friday, September 27 from 2:15pm-6:15pm. Please view your booth assignments here and the map can be viewed here.

The map and booth assignments will be available to attendees in our conference program and mobile app. 

My company selected an interview booth as part of our benefits package. How can we find out where our booth is as well as the hours for the booth?

If an Interview Booth is a part of your selected benefits, you may use your booth(s) on Friday, September 27, 8am-6pm PST, and Saturday, September 28, 8am-2pm PST. The booth(s) will be located in a pre-designated area. Each semi-private booth space is an 8’x8’ draped area with three (3) chairs, a small table, and signage on the exterior to designate that space as yours. Booths will be on the 3rd floor in the Catalina Ballroom, assignments can be viewed here and the map can be viewed here.

Please note that interview spaces for PRIZM may be in different locations operating at different times. 

My company selected a designated meal table as part of our benefits package. How can I find out more about how this benefit works?

The designated meal table covers either our Friday breakfast, Friday lunch, or Saturday dinner. Each table seats ten (10) people. When you arrive at the meal(s) you designated as your choice, you will see your company’s name on the table. Please feel free to use our student interest report, GradLeaders, or other tools you are using to extend invitations to students or alumni to join you at your table. This is a good way to get to know our registrants better. Reaching Out MBA reserves the right to seat additional registrants at your table, if there are any unfilled seats at the start of the meal.

How can I create a social media post, job listing, newsletter ad, or company spotlight that is included in our partnership benefits?

If you partner with Reaching Out MBA at the Garnet level or higher, you may receive one or more of the aforementioned benefits. Use this form to engage these benefits. 

Social Media Posts (Garnet & Above): Share your text and visual assets, add a link, and choose the platforms you want to target – Facebook, LinkedIn, Twitter/X, and/or Instagram. This benefit is available year-round, not just during the conference season. Schedule your posts in advance for added convenience.

Job Listings (Garnet & Above): Submit job listings to be shared with the ROMBA community. This benefit allows you to post your job listing and include an image. Check your corporate partnership package for your job listing quota. Refer to the master calendar for all job listing deadlines.

Newsletter Ad (Garnet & Above): Submit an ad to be featured in the newsletter using the form provided.

Event/Company Spotlight (Emerald & Above): Provide information for your event or company spotlight, including copy and an image, for us to share with the ROMBA community.

My company would like promote its partnership with ROMBA do you have social media assets that we can use?

What is the Networking Lounge?

The Networking Lounge is appropriate for professional networking, small group meet-ups, affinity groups, a coffee chat, and/or workspace for individuals and small groups (up to six folks). Reaching Out MBA will offer featured coffee breaks in this space on Friday from 10:15 AM-11:15 AM (presented by PwC) and Saturday from 11 AM-12 PM (presented by Pfizer). The location will be communicated this summer.

I was not able to attend the ROMBA Corporate Partner Orientation. How can I view the content?

If you were unable to join the ROMBA orientation, you can access the recorded meeting via Zoom using this link. Additionally, the agenda is attached here for your review. The recording is approximately 35 minutes and covers partner benefits such as GradLeaders and student interest reports, company receptions, and logistics including how to book a sub-block of rooms.

My company receives an eligible speaking opportunity as part of our benefits package. How can we sign up for one? DEADLINE HAS NOW PASSED.

If your company receives one or more speaking opportunities, you are eligible to nominate speakers here. The list of available speaking opportunities and our agenda can be viewed here. Confirmed speakers can now be viewed here

Please note that speaking opportunities are not guaranteed. You can increase your chances of securing a speaking placement by supporting our DEI goals. For more information, go here. The final deadline to submit speakers is Friday, September 6 and we review submissions on a rolling basis. After that date, we may accept submissions and make placements only if Reaching Out MBA requires specific speaker placements. Once speakers are confirmed, we will provide a unique link and discount code for speaker registration. Please note that speaker registrations are separate from full conference registrations.

I want to double check the information from my company that will be placed in the conference program. Where can I check this? THIS DEADLINE HAS NOW PASSED.

What is Lead Retrieval and how do I opt-in? DEADLINE HAS NOW PASSED.

Lead retrieval is a complimentary benefit to Garnet and above partners. This will enable you and your team to track talent through the conference experience. At ROMBA, talent will have a QR code on their badge. With lead retrieval, your team can download the app, scan the QR codes of talent, and take notes on them. The end product is a spreadsheet with all scanned individuals, basic information, and your notes. This year, we will host a short training to make sure all partners can effectively use this benefit.

Please opt-in for lead retrieval using this form; only one person per company needs to fill out the form and they should be present at the conference. Our opt-in deadline was Monday, August 26.

My company is eligible for the inclusion of a partner gift in conference gift bag. How can I send my gift? DEADLINE HAS NOW PASSED.

If you are a partner with Reaching Out MBA at the Ruby level or above, you are eligible to include a partner gift in the conference gift bag. This bag will be distributed to all attendees at the 2024 ROMBA conference. Please plan to send 1,200 items.

Please email Sadiyah Rashied at srashied@reachingoutmba.org if you are interested in sending a partner gift and what you would like to include. The deadline to receive items for the conference gift bag is Thursday, September 19. If you do not meet this deadline you may no longer be eligible for this benefit.

The shipping label can be found here.  Include “Gift Bags” in the “TO:” line to ensure proper shipping.

Once you have sent the items to the address above, please email Sadiyah the carrier and tracking info (i.e. FedEx/UPS tracking numbers), if you have them. We especially need to know if something is being sent by private freight on pallets.

My company selected an ad in the conference program as part of our benefits package, or it is included. How do I submit an ad? DEADLINE HAS NOW PASSED.

Please refer to your corporate partnership package and invoice to confirm your eligibility for an ad in our conference program. Ensure that your ad adheres to ROMBA’s specific requirements, as outlined below. Do not use an existing ad without verifying its compliance with these specs. All ads must be submitted by Friday, August 16. Please send your ads to Sadiyah Rashied at srashied@reachingoutmba.org by the deadline. Failure to submit your ad on time will result in the expiration of this benefit.

How do I register for the PRIZM Conference?

Registration for the PRIZM Conference is now live! Please use this link to register. 

To ensure all attendees from your company are accounted for, each person should register individually. Code PRIZM2024 provides one (1) complimentary registration to each partner, with additional registrations costing $750 each.

Please note that if you are primarily attending ROMBA sessions and activities, please register for ROMBA. You will still be allowed access to PRIZM as a dual partner. Your recruiter(s) for Experienced Talent and/or those attending PRIZM for executive education should register directly for PRIZM (not ROMBA).

When and where is the PRIZM Conference taking place?

The PRIZM Conference is occurring in Los Angeles, CA from September 27-29 at the Westin Bonaventure, located at 404 S. Figueroa Street, Los Angeles, CA 90071. 

I would like to conduct coffee chats during the PRIZM Conference. How do I opt-in into a dedicated space? DEADLINE HAS PASSED.

Coffee Chat Spaces will operate Friday, September 27, 2-6 PM and Saturday, September 28, 8 AM-6 PM. Coffee Chat spaces will be on the 3rd floor in the Catalina Foyer, assignments and a map are forthcoming.
